
How to Manage the Research Participants for your study:
- Select "My Studies" under Researchers and login with your Kerberos / Level 1 uniqname and password.
- Scroll to the study whose participants you want to match and click on the "Manage Participants" link under the study.
- The following lists are available for your convenience:
Requested Contact:
- Requested Contact will display those Volunteers that have expressed interest in your study by choosing 'Have the Selected Study Contact Me' or by enrolling in UMClinicalStudies for this study alone. You may look at the Volunteers Information by clicking on the First or Last name. If the Volunteer has granted you access to their Medical Record for screening purposes only, they will have a 'Y' under the column 'CareWeb Access'. If you click on the 'Y', Care Web will open in a separate screen. The volunteer's CPI is available in the Volunteer Information section, accessible by clicking on their first or last name.
- Once you open a Volunteer's record (by clicking on their first or last name), you will be able to view their individual Volunteer Information. This will allow you to view more specific information for your consideration of whether they would be a good fit for your study.
- If you mark one of these volunteer as Ineligible, they will be removed from your list, and will not be matched to that particular study again. "Requested Contact" volunteers is a subset of the Potential Volunteers list (described below). A person cannot be on both lists at the same time. Please note that Volunteers that request contact are NOT notified through UMClinicalStudies system if they are deemed ineligible for that particular study. Therefore, in order to provide good customer service to our loyal volunteers, it is the responsibility of the study team member to let volunteer s that specifically request contact know whether or not they are eligible, as in many cases, they are eager to participate and are seeking a reply.
- Contact information is provided. If a Volunteer appears to match your study, you can utilize this contact information provided to reach the volunteer. From there, you can provide additional information about the study to the Volunteer directly. If they appear to be interested and are a good match to the study eligibility criteria, then you may proceed in enrolling the Volunteer in your study (including your Informed Consent process, etc.)
Potential Volunteers:
- Potential Volunteers are those research volunteers that have entered criteria that match with the basic criteria of your study. These criteria are gender, age, smoking status, race/ethnicity, location of study, condition preference (if applicable), and compensation preference (if applicable). If you mark these volunteers as ineligible, they are removed from your Potential Volunteers list for this study only (they may still be matched to other studies which you manage based on the general eligibility criteria). Please note that if Potential Volunteers are marked as ineligible, they do NOT receive an email indicating they do not qualify for the study. Therefore, in order to provide good customer service to our loyal volunteers, it is the responsibility of the study team member to let volunteer s that specifically request contact know whether or not they are eligible, as in many cases, they are eager to participate and are seeking a reply. If you choose the "Plan to Contact" button, this will be moved to a list (described below) that will allow you to manage this potential volunteer separately.
- The Potential Volunteers screen includes a filter that allows you to sort through the potential research volunteers that may have had a previous condition that may be relevant to your study.
- Contact information is provided. If a Volunteer appears to match your study, you can utilize this contact information provided to reach the volunteer. From there, you can provide additional information about the study to the Volunteer directly through the method of contact that they prefer (indicated on their Volunteer profile information). If they appear to be interested and are a good match to the study eligibility criteria, then you should proceed in enrolling the Volunteer in your study (including your Informed Consent process, etc.)
Contacted:
- The Contacted list displays those volunteers that you have 'Marked as Contacted', whether it was by email, phone, mail or in person. This list is an organizational aid for managing the volunteers you have in UMClinicalStudies.
Plan to Contact:
- The Plan to Contact list displays those volunteers that you have indicated that you will contact later by selecting the 'Mark selected as Plan to Contact' button in your Potential Subjects List. This list is an organizational aid for managing the volunteers you have in UMClinicalStudies.org.
